Choosing the right employee benefits firm or insurance advisor is one of those decisions that looks straightforward until you get it wrong. Price is the obvious place to start. But in our 15+ years working with businesses across industries, we have seen the real cost of choosing on price alone. It shows up six months later, in plans that do not fit your workforce, in claims that go mismanaged, and in renewals that blindside you.
Here is what we tell every business owner who asks us how to evaluate their options.
Industry Knowledge Is Not Optional
A generalist advisor might be fine for simple needs. Employee benefits and commercial insurance are not simple. Group health plans, self-funded arrangements, stop-loss coverage, compliance with ACA and ERISA — these are not things you want someone learning on your dime.
At Zupnick & Associates, we work exclusively in the spaces we know: employee benefits, business and commercial insurance, and life insurance for business owners. When a client calls us about renewal strategy or carrier negotiations, we already know the landscape. We do not need weeks to get up to speed.
When you are evaluating a firm, ask them to walk you through a situation similar to yours. Listen for specificity. Generic answers are a warning sign.
Responsiveness Is Part of the Product
Benefits administration and insurance do not pause for business hours. When an employee gets a surprise bill, or when a renewal comes in 40% higher than expected, you need an advisor who picks up the phone.
We hear this consistently from clients who came to us after working with someone else: the original firm was fine until there was a problem, and then they disappeared. That is not how we operate. Responsiveness is built into how we work, not something we offer as a premium.
Ask any firm you are considering: what is your response time when a client has an urgent issue? Then ask for a reference you can call to verify it.
References Tell You More Than Proposals
Any firm can put together an impressive proposal. What you want to know is what happens after you sign. Do they show up at renewal? Do they proactively bring you options before you think to ask? Do they advocate for your employees when there is a dispute?
Ask for references from clients who have been with the firm for three or more years. Long-term relationships mean the firm delivered on what they promised.
Total Cost vs. Sticker Price
The lowest-fee advisor is not the least expensive option if they miss a compliance filing, fail to negotiate your renewal, or cost you employees who leave because of a poor benefits package. We have seen all of these scenarios. The real cost of a misaligned advisor shows up in places that are hard to trace back to the original decision.
When you compare firms, look at the total picture: what is included, what is not, what happens if something goes wrong, and who is accountable. A firm that charges more but delivers a well-designed plan, clean administration, and proactive account management will almost always cost less in the long run.
Find the Right Fit
If you are evaluating employee benefits advisors or business insurance firms, we would be glad to walk through your situation with no obligation. At Zupnick & Associates, the conversation itself is free. We will tell you honestly whether we are the right fit — and if we are not, we will tell you that too.
